Busiest year yet. And the worst one for cash.

A tradesman sitting on the back step of his house at dusk in dirty work clothes, a mug and a folder of paperwork beside him, staring past the phone in his hands.

Busiest year yet. Least money in it.

You know your rate. Not what you made.

And you can't tell which jobs cost you.

The answer turns up a year after you needed it.

  1. JulyNew financial year. This time you'll keep track properly.
  2. OctoberThe receipts are in the ute, the glovebox and a shoebox.
  3. JanuaryQuiet month. You look at the balance and can't explain it.
  4. AprilBest quarter you've ever had. You still couldn't say what it made.
  5. SeptemberYour accountant tells you how it went. Too late to do anything.
“ServiceYak put my whole business on my phone. I quote on site, the invoice goes out the second the job's done, and the money lands without me chasing it. Game changer for a small team.”

You're not bad with money. Nothing in your setup was ever adding it up.

Before the quote goes out

See the margin while you can still do something about it.

  • Cost, profit and margin on every line as you build it
  • Know what a discount costs you before you agree to it
  • Kits carry their own cost, so a bundled job still shows its margin
How quoting works

While the job's running

The costs find their own way onto the job.

  • Photograph the supplier invoice at the counter; it reads into a draft
  • Labour costed at each person's own rate off their timesheets
  • All of it attached to the job, so the real cost isn't a guess
How Smart Scanner works

Then whenever you want it

The year answers for itself.

  • Job Profitability: estimated against actual, with the variance
  • Which clients, which months and which kinds of work paid
  • Any range you like, the Australian financial year included
What the reports show
“I used to do quotes and invoices at the kitchen table well after I clocked off. Now it's knocked out from the ute before I've pulled out of the driveway, I've got my evenings back.”

The same tradesman on the same back step at dusk, the paperwork gone, leaning back against the door frame and looking out across the yard.

Same year. You just knew as it went.

  1. As you quoteThe margin's on the screen before you send it.
  2. As you goEvery receipt and every hour lands on the job itself.
  3. WheneverYou open it, and the year's already added up.
Questions, answered

What tradies ask about knowing their numbers.

No, and it isn't trying to. Your accountant does your tax; these are operational numbers for running the business between now and then — what a job made, what's owed, which months carried you. Most of it feeds them anyway, because your invoices and bills already sync to Xero or QuickBooks. What changes is that you stop finding out in September.

The more you catch the truer the number, but it isn't all or nothing. Start with the supplier bills — they're the big ones, and they scan in a couple of seconds at the counter. Job profitability gets more honest the more of your costs it can see, and even half of them is more honest than an estimate in your head.

Your dashboard has something in it from the first invoice. Job profitability wants a job that's been quoted, costed and invoiced, so you'll have a real one inside a fortnight and a picture of the business inside a quarter. Nothing here needs a year of history before it'll tell you anything.

Not by a long way. In BizCover's 2026 State of Australian Small Business Owners survey of 1,500 owners, 50.8% said they'd seriously considered closing or selling up, and owners in their thirties reported the highest stress and regret of any age group. Worth knowing their respondents are their own insurance customers and all small business rather than trades only — but the shape of it holds. It isn't that people are bad at the work. It's that nobody can steer something they can't see.

Sixteen, across Financial, Jobs, Sales and Team: job profitability, revenue by category, work in progress, quote conversion, top clients, staff utilisation and the rest. No reporting pack to buy and nothing behind a higher tier. Export any of them to PDF, Excel or CSV, branded with your logo if you're sending one on.

It'll tell you what's owed and what's out — unpaid invoices, your quote pipeline, six months of money in against money out, and a list of what needs you today. It does not forecast, and it won't predict your cash position in March. Be wary of anything that says it can; what this does is stop the past being a mystery, which is the half that's actually knowable.

No. They're operational reports for running the business — useful for a conversation with your bookkeeper, not a substitute for your BAS or your return. ServiceYak doesn't lodge anything with the ATO and doesn't pretend to.

The whole lot: dashboard, reports and exports. Which matters, because the question usually occurs to you in the ute between jobs rather than at a desk.
