What makes an invoice valid

An invoice isn't just a request for money — in most countries it's a tax document, and the rules about what has to appear on it are specific, written down, and different everywhere.

  • The document has to identify itself. Several countries prescribe what it must be headed, and a document carrying the wrong words is not the thing it claims to be however complete the rest of it is. The heading on the document opposite is the one your country currently uses.
  • Your tax number usually has to appear, and often only above a threshold. Leave it off and your customer can't claim the tax back — which is their problem until it becomes the reason they query your invoice.
  • The thresholds move the goalposts. Most markets require more detail as the invoice gets bigger: the buyer's name, a description of the work, the payment terms. The checklist above only shows what applies at the total you've actually typed.

Getting it paid is the other half

A correct invoice that sits in a drafts folder for three weeks is worth less than a rough one sent the day the job finished. The two things that move payment dates are sending it immediately and making it easy to pay.

  • Send it the day you finish. Every day between finishing and invoicing is a day added to the front of your payment terms, and it's the cheapest change available to you.
  • Put the terms on the document. "14 days" beats no terms at all, and it's required outright in some markets above a threshold.
  • Number them in sequence. The UK requires a unique identification number; everywhere else it's how you find the thing again when somebody queries it eight months later.

No. If you're not registered you must not charge it, and the invoice shouldn't show it. If you're not sure whether you should be registered, the CRA publishes the turnover threshold that decides it — and your accountant will know in a sentence.
